JOB DESCRIPTION: Receptionist
DEPARTMENT: Administration
REPORTS TO: Customer Service Manager
POSITION CLASSIFICATION: Non-Exempt


SUMMARY: Provide a wide variety of clerical, secretarial and receptionist support for all branches.

Essential job functions and responsibilities include but are not limited to the following:

  • Check fax machine hourly
  • Goldmine – Database entry
  • Service/Supply Spreadsheet
  • Answer incoming calls
  • Take service calls as needed using the Cisco phone application
  • Laserfiche Inquires
  • Order releasing
  • Update directory for new hires and separations
  • Update Cisco system with new hires and separations
  • Send out monthly extension sheets (On the 1st of every month)
  • Open incoming mail, sort, deliver and count checks (Twice Monday)
  • Fold and meter outgoing mail
  • Call for FedEx pickup as needed
  • Courteously greet customers, internal and external, determine their needs and direct them to the appropriate person, office, or department by phone or in person
  • Maintain responsibility for general secretarial support functions to the branch to ensure efficient utilization of time.
  • Type and distribute, upon review and approval, company correspondence, memos, and projects from notes or drafts
  • Photocopy and fax information and documents as needed or requested by management
  • Maintain appropriate levels and monitor office supplies, equipment and other materials to allow department members to complete assigned responsibilities and provide for customer needs by submitting approved requisitions. Perform other job-related tasks as identified and approved by department Manager.
  • Perform Opening & Closing procedures such as turning on/off equipment, locking up, break room cleanup, etc.

 
Requirements:

• Proficient in Microsoft Office, most importantly: Microsoft Word and Excel
• Excellent customer service skills
• Strong analytical and trouble-shooting skills
• Must be a self starter
• Must be capable of working independently
• Ability to handle high stress situations and thrive under pressure
